On-site Health and Safety Information
As the 85th Annual Meeting of the Academy of Management gets underway, we are collaborating with the City of Copenhagen to ensure that safety and security precautions are in place for the on-site meeting. We ask that you partner with us by following the appropriate guidelines and procedures to ensure everyone’s safety. By attending, you understand and commit to following and respecting these measures.
City Alerts
Sign up for updates with S! RENEN; is Denmark’s mobile-based public warning system. If you are in an area where many people are exposed to danger, you can receive a warning directly on your phone.
Health
COVID protocols are no longer in effect. AOM will make required changes should local, state, or federal government agencies require protective measures such as masking, proof of vaccination or testing but, please practice common sense regarding COVID-19 protocols during the meeting. If you are feeling unwell, we kindly ask that you stay in your hotel room. Additionally, if you prefer to attend while taking extra precautions, consider bringing a mask to wear during the meeting.
Emergency Medical Needs
You can use the First Aid provided onsite at the Bella Center or review the In Case of Emergency information for urgent care and pharmacies nearby.
Facility Security
AOM coordinates with each facility’s security team to manage emergencies according to their established protocols. In the event of a large-scale emergency in one of AOM’s meeting locations, please listen for public announcements and follow the instructions provided by facility security staff. If you have an emergency at one of our facilities, locate the security information provided on the head table or lectern in each session room and contact security directly.
Emergency: 112 is the number for the emergency services in Denmark. Dial 112 if you need emergency assistance.
When should you dial 112? All calls to 112 are recorded.
Here are examples of situations that require emergency assistance:
- Accidents, serious crimes or a fire;
- Situations that put life, property or environment at risk;
- Situations that require emergency assistance from the police, an ambulance, fire department or environmental authorities;
- Life-threatening illness and injury.
Individual Attendee Security
All meeting attendees are expected to abide by the professional standards of AOM. Please review the AOM Code of Ethics, the AOM Code of Conduct, and the AOM Harassment Policy to understand the expected standards of conduct at AOM events.
In the event of an unsafe situation, attendees, volunteers, and staff should never put themselves in harm’s way or respond to an angry or threatening individual without security. You may require facility security for a minor disturbance, an uncredentialed individual who should not be in attendance, or a peaceful protest that interrupts business and is not part of the session/event taking place. You can locate security guards at key entry points and throughout each facility, along with hotel or facility staff, AOM staff, or vendor personnel at each facility.
Personal Safety Recommendations
- Research the area: Know the location of the conference, nearby emergency services, safe travel routes, and your hotel.
- Share your itinerary: Let a trusted friend or family member know your travel plans, including your hotel name, schedule, and expected return.
- Use safety apps: Download and use a safety app, check your hotel’s emergency contact app which may provide quick access to help.
At the Conference
- Wear your badge: Always wear your badge visibly while inside the meeting facilities or attending associated events. For your safety, remove your badge when outside the meeting venues or in public areas.
- Keep belongings close: Use a cross-body bag or backpack worn in front when in crowded areas; never leave bags unattended.
- Stay alert: Avoid distractions like texting or wearing headphones.
- Stick to well-lit areas: Especially when walking between venues, receptions, or evening events.
- Know emergency exits: Familiarize yourself with the venue’s layout and locate exits and emergency gathering points.
In Social Settings
- Trust your instincts: If someone makes you uncomfortable, excuse yourself and walk away.
- Watch your drinks: Never leave drinks unattended; avoid accepting open drinks from strangers.
- Use the buddy system: Walk or travel with others, when possible, especially at night.
- Avoid oversharing: Be cautious about disclosing your hotel room number or travel plans to new acquaintances.
At Your Hotel
- Double lock your room: Use the deadbolt and doorstop or security latch.
- Don't open the door to strangers: Confirm any hotel staff requests by calling the front desk.
- Keep key cards and personal info secure: Don’t leave them out in public or visible in your room.
Travel & Transportation
- Use trusted transport options: Hotel shuttles, pre-booked rides (like Uber/Lyft), or licensed taxis.
- Verify your ride: Check license plates and driver info before entering any vehicle.
- Share your ride: Let someone know your route or use app safety features to share your trip status.
In the event of harassment at an onsite AOM event:
It can be difficult to know what to do if you witness harassment. Consider the following but always maintain personal safety.
- Distract: Start a conversation with the target (or harasser) to distract them.
- Delegate: Get help, each AOM facility has security and hotel staff or AOM staff (at offsite events seek out facility staff/general manager).
- Delay: After the incident, check in with the target to see if they need help.
- Document: Take video footage or screen shots of the harassment.
- Direct: Speak up about the harassment as it’s happening.
If you are the target of harassment:
- Your own personal safety is most important. Consider removing yourself from the situation or asking someone nearby for help.
- Take detailed notes about the incident. Include what, when and where it happened, if there were any witnesses, and any other useful information you might remember. You can also write down the names of any people who later help you in an official capacity.
- Reporting an incident is an important step, and the decision to do so is your own. AOM staff can assist if you would like to report the incident or relocate your hotel room.
- If you choose to report the incident to AOM, please contact the ombuds@aom.org and consult the AOM Ethics Procedures for guidance. While we trust that members will uphold the highest ethical standards, AOM ethics volunteers are available to support you should an issue arise.
- If you are the victim of a crime, you may choose to contact local law enforcement. This decision is at your discretion.
